# Exam pack (Off-campus exams)

Provide students with the following information:

**EXAM ENTRANCE REQUIREMENTS** Provide the applicable rules for your module.

**INTEGRITY DURING THE EXAMINATION**

- Provide a link to UP & Faculty examination rules for students, and highlight important rules. **DATE & TIME OF THE EXAMINATION** **Date:** Day of the week, date (confirm this date on UP Portal). **Time** from which examination link will be available, as well as time allocation to specific parts of the examination (if applicable). cut-off State how the following will be managed during the exam:

- Load shedding
- Late starts
- Exam submission when the deadline is reached, e.g. no late submissions, marked late, automatic submission, etc.
- Additional time students.

**FORMAT** State clearly

- if the exam is open/closed book.
- Total marks and how marks are allocated. If minimum pass rates apply to specific sections of an exam, it should be clearly stated.
- the assessment system that will be used, e.g. clickUP, QuestUP, Numbas, etc., and how students should access the examination link.
- how the assessment will be structured and the time allocation for each section of the examination, e.g. 2 hours for Essay questions via Turnitin, 30 minutes for Objective assessment questions, etc.

**REQUIREMENTS DURING THE EXAMINATION** State what tools a student will need to complete the assessment, e.g. stationary, calculator, etc.

Students will need the following to write online assessments off-campus:

- Stable internet connection and a laptop, tablet, or desktop computer.

          Important

          

- **Note that no exam should be written on the mobile app**. The Mobile Chrome Browser is however supported. If needed, arrange for an on-campus venue for students who do not have access to the necessary hardware.
- Instruct students to retain the submission proof provided by the system for each section of the examination.

- Stable electricity.
- GOOGLE CHROME as internet browser.
- Data
- Details of the emergency contact details of lecturers and IT support in case of an IT emergency.

**COMMUNICATION DURING THE EXAM** Always provide an emergency communication channel/s to students during the exam and have staff on standby to assist them, e.g.

- WhatsApp messages on a tutor group, and
- clickUP conversation activated on an Ultra Document or the examination itself.
- emails to a student's UP email address

**IF YOU MISS THE EXAMINATION** Provide information on how students should upload the relevant documentation on the UP Student Portal if the exam is missed with valid reason.

**AFTER THE EXAM** Provide information on

- when final marks will be released on the UP Portal. These marks are published by Faculty Administration.
- when and how perusal of the examination paper will take place.
- who to contact for examination queries.
- where final marks can be viewed: UP Student Portal under "View Current Enrollment/Results" (NOT THE ACADEMIC RECORD). Lecturers, tutors, and administrative staff are not allowed to communicate any marks.

**SUPPLEMENTARY/SPECIAL EXAM** Provide information on where students can access information on the Supplementary/Special exams.
