# Perusal of marked exam papers

After students’ marks have been made available in the PEOPLESOFT system, they may request perusal of their examinations.

Note

The settings below will allow ALL students to view the examination marks and feedback. You can not show examination scripts to only specific students, except to do perusal on appointment only. To inform only students who requested perusal of the perusal times, consider the following suggestions:

1. Create a Google form in which students indicate that they want to peruse their examination. Communicate only with the students on this list to organise the Perusal session.
2. ClickUP Self-Enrol Group: Create a Perusal Self-Enrol group where students can sign up for Perusal. The lecturer can then communicate with these students only to communicate the date of Perusal. (See steps at the bottom of this page).

## PERUSAL ON APPOINTMENT ONLY

Perusal could be done on appointment with students in your office or via a Live virtual session e.g. Class Collaborate or Google Meet, where the lecturer shows the student’s assessed submission to the student.

## OPENING EXAMS FOR ALL STUDENTS TO PERUSE

### Perusal of Turnitin assignments

1. Inside the Turnitin assignment, set the **Feedback Release Date** to the PERUSAL date.
2. Make the **Gradebook** exam column visible to students. a) Click on **Gradebook**. b) Click on **Gradable Items**.

c) Using the scroll bar at the right of the screen, move to the row you want to make visible to the students. d) Click on the ellipse in the row and select **Edit** from the dropdown.

e) Change the release conditions to **Visible to students** and **Save**.

f) The line through the name of the row icon should disappear to indicate the row is visible to students. g) Use the **Student Preview** and then click on **Gradebook** and confirm that the correct Gradebook columns are displaying to the students.
3. Only show this column to students for the period perusal is allowed.
4. Hide it again from students after the perusal time passed by following steps a) to e) above.
5. Change the **Feedback Release Date** of the Turnitin assignment to a time far in the future to stop students from viewing their examination.

Students will see their marks and feedback in the **Gradebook** area.

### Perusal of clickUP assignments

1. Make the **Gradebook** exam column visible to students.  

a.	Click on **Gradebook**.  

b.	Click on **Gradable Items.**  

c.	Scroll down to the name of the exam you want students to peruse (using the scroll bar on the right) and click on the **ellipsis** (three dots).  

d.	From the dropdown click on **Edit**.  

e.	Click on the down arrow next to **Hidden from students** and select: **Visible to students**.  

f.	The icon next to the name of the exam should appear as  .  

g.	Use the **Student Preview** mode and click on **Gradebook** to confirm the correct Exam assignment is displaying to the students.
2. Only show this column to students for the period perusal is allowed.
3. Hide it again from students after the perusal time passed by following steps a) to e) above.

Students will see their marks and feedback in the **Gradebook** area.

### Perusal of exams in clickUP test tool

Showing clickUP test results for exam perusal makes your questions available to students which they could potentially copy and distribute. The only solution to not “distributing your questions” to students, is to schedule online perusal sessions. If protecting your question databank is not such a high priority, consider the process below to protect your question databank/s to some extent. The following can be done in different ways (from Content or Gradebook): the steps below are from using the **Gradebook**.

1. Click on **Gradebook**.
2. Click on **Gradable Items**.
3. Scroll down to the name of the exam you want students to peruse (using the scroll bar on the right) and click on the eclipse (three dots).
4. From the dropdown click on **Edit**.
5. Click on the **gear** next to Test Settings.
6. Scroll down in the Test Settings to **Assessment results** using the scroll bar on the right and then click on **Submission view**.
7. Click on the tick box to **Allow students to view their submission** , and then select the **On specific date** and then specify the **date** and **time**.
8. If you want to show automated feedback (if you added this to your questions) do the following: Click on the tick box to **Show automated feedback** and then select the **On specific date** and then specify the **date** and **time**.
9. Question scores will always show when answers are showing.
10. It is recommended that you show the correct answers: Click on the tick box to **Show correct answers** and then select the **On specific date** and then specify the **date** and **time**. Then click on **Save**.
11. Verify that all the Assessment results settings are correct, before you click on Save to complete the process.
12. Use the **Student Preview** during the perusal time and click on **Gradebook** to confirm the correct Exam marks are displaying to the students.
13. The settings as illustrated in 12 above WILL show: • the wording of the question • the marks per question • the correct answer • the answer the student submitted for the question. • Additional feedback you added to a question.
14. Make the **Gradebook** exam column visible to students. a. Click on **Gradebook**. b. Click on **Gradable Items**. c. Using the scroll bar at the right of the screen, move to the row you want to make visible to the students. d. Click on the ellipsis ( .) in the row and select **Edit** from the dropdown. e. Change the release conditions to **Visible to students** and **Save**. f. The line through the name of the row icon should disappear to indicate the row is visible to students. g. Use the **Student Preview** function and then click on **Gradebook** and confirm that the correct Gradebook columns are displaying to the students.
15. Only show this column to students for the period perusal is allowed.
16. Hide it again from students after the perusal time passed by following steps a) to e) above.

Students will see their marks and feedback in the **Gradebook** on the top navigation in the module.

### Communicate with students

#### Create a self-enroll group for students to register for perusal

1. Click on **Groups**.
2. On the page that opens, select **New Group Set**.
3. Add a **Name** for the group set, for example, Perusal self-enrolment.
4. Change the group visibility to **Visible to students**.
5. At **Group students**, click on the down arrow to the right of **Custom** and the click on **Self-enrolment**.
6. Under advanced options, choose a **Enrolment start date** and an **Enrolment end date**.
7. Do NOT select **Auto-enrol members at the end of the enrolment period**.
8. Add a Description to the students.
9. Set **Maximum Number of Members** to the number of students who are enrolled for your module/who completed the exam.
10. Tick **Hide enrolled members** (keep the students who request Perusal private). Information: Ultra by default creates three self-enrolment groups. You will now name one group and delete the other two.
11. Place your mouse over **New group 1**, and change the name to Perusal group and Add a group description.
12. Click on the ellipsis (three dots) to the right of **New group 2** and select **Delete** from the dropdown menu.
13. Click on the ellipsis (three dots) to the right of **New group 3** and select **Delete** from the dropdown menu.
14. Click **Save** at the bottom of the page.

#### Send a message and email to students who signed up for perusal

1. In the top navigation, click on **Groups**.
2. Click on the down arrow next to the name of your Perusal group set.
3. The groups will now appear. Click on the envelope next to the Perusal group.
4. The following will now be visible:  

a.	The Perusal group already appears under **Recipients**.  

b.	Tick the box **Send an email copy to recipients**.  

c.	As there is no subject line in a message, start the message with a heading. Give students all the required information, including what to do if they experience connectivity during an online perusal.  

d.	Click **Send**.

## OPENING EXAMS FOR SPECIFIC STUDENTS TO PERUSE

#### **Setup the test preview**

1. Students sign up for perusal.
2. Apply the following settings to Exam TEST as below:  

a.    Click on the Exam link (on the **Course Content page**)  

b.	Click on the settings icon and scroll down to **Assessment Results **  

c.    Under **Submissions view**, tick  **Allow students to view their submissions** and from the drop-down menu select **After individual grades has been posted**
3. Access the **Gradebook** and post individual marks (of students who are present during the perusal).

***Note**: Result: Student sees own answer + feedback + Example of the correct answer (for Essay Questions) + mark. Gradebook: Everything is visible as stated above. Students can see this from anywhere, not just the lab.*

#### **AFTER perusal Edit the Exam settings**:

Deselect **Allow students to view submission**, this will remove all other ticks. Students will no longer have access to their Submission. Make sure to hide the Gradebook item.
