You can provide external examiners with the printed exam papers, download the scripts, or provide the external examiner access to your clickUP course (described below) to facilitate the moderation process.

TAKE NOTE

The risk exists that the external examiner may accidentally change settings or delete attempts. clickUP creates automatic archives every 2 to 3 days. These archives can be restored to our STAGING environment (not in the real course) in minutes. If however the document was deleted before an automatic archive was made, Blackboard has to restore the whole system and then extract a specific course. This can take up to 7 working days.

External examiners' access to your clickUP module will allow them to see your entire course, so you must guide them to the examination sections for moderation. If the external examiner is not a UP staff member, you must request guest access for them.

1. Request Guest Access for Non-UP examiners

The first step is to give the Non-UP external examiner access to the PeopleSoft System through the Permission Manager Tile.

Find the name of the Departmental Permission Manager

  1. Log into the UP Staff Portal.
  2. Click on the Permissions Manager Tile. If it is not available on the UP portal, click on Add/Remove Portlets at the top and add the tile.
  3. At the top of the screen, click on the Permissions Administrators Tab.
  4. Type in your department in the search bar.
  5. Click Search.
  6. Note down the email address of the person to contact.

Information required

Send an email to the Permission Manager(s) with the following information about the external examiner:

  • Initials:
  • Name:
  • Surname:
  • ID number:
  • Copy of the guest lecturer's ID:
  • Course code to which access is required:
  • Email address of external examiner:
  • Name of the UP person who takes responsibility for providing this access (Guest sponsor):

The Permission Manager will create the person with Guest access in PeopleSoft, and provide you with the examiner's new EMPLID.

2. Provide clickUP access

  • The Course Approver in PeopleSoft provides access for the external examiner to your clickUP module. Be specific to requesting the role of Grader or Facilitator.
  • This process is described here in detail.
  • After the external examiner has been added, the Course Approver will get a popup that will create the user in clickUP:

"The person you have selected is not a Staff member but they are an active Guest or Student. If you need the user to be created in clickUP, select 'Yes'."

3. Communicate login details with the external examiner

The internal examiner/lecturer sends the following information to the external examiner:

  1. New EMPLID
  2. How to create their own UP Password (described below)
  3. Direct URL to clickUP: https://clickup.up.ac.za
  4. Instructions on how to navigate the clickUP module to find the examination.

4. Steps taken by the external examiner

  1. Create own UP password: Go to https://upnet.up.ac.za, click on New Users, and complete the fields.
  2. Log into clickUP directly on https://clickup.up.ac.za with the following details:
    • Username: u+EMPLID (received from the permission manager)
    • Password they created themselves.
  3. Click on the module name in which the examination is.
  4. Follow the instructions provided by the internal examiner on where in the course to access the relevant examination papers and how to view them.
