It is designed to help all stakeholders understand their responsibilities to ensure smooth planning, setup, and delivery of assessments in CBT laboratories.

Key Process Overview

The CBT process typically includes:

  1. Booking a computer laboratory
  2. Completing required training
  3. Requesting QuestUP access
  4. Creating question collections
  5. Compiling assessments
  6. Scheduling students
  7. Delivering the assessment
  8. Reporting on results

Important Timelines

Activity Deadline
Lab booking At least 1 month in advance
Cancel booking Minimum 2 working days before
Assessment ready (Autonomous) 2 working days before
Provide setup to EI (Semi-autonomous) 4 working days before
Provide full content to EI (Dependent) 7 working days before

Failure to meet deadlines may result in delays or cancellation of assessments.


Roles and Responsibilities

Academic Department (Lecturers & Admin Staff)

Core Responsibilities

  • Book computer laboratories
  • Create and manage question collections
  • Compile and review assessments
  • Meet all deadlines and requirements
  • Arrange invigilators
  • Store attendance slips (minimum 1 year)

Assessment Preparation

  • Ensure students are registered for the module
  • Provide correct assessment settings and content
  • Inform EI of readiness for testing
  • Update question banks regularly to maintain integrity

During Assessments

  • Ensure invigilators are present (1 per 50 students)
  • Be available to resolve academic queries
  • Verify student identity (valid student cards)
  • Ensure compliance with university rules

Education Innovation (EI)

Core Responsibilities

  • Provide training on QuestUP and assessment design
  • Support lecturers based on their level of autonomy
  • Assist with:
    • Question uploads
    • Assessment setup
    • Scheduling students
  • Set up test assessments for technical validation
  • Assist with interpreting assessment results

Support Levels

  • Autonomous: Minimal EI support
  • Semi-autonomous: EI assists with setup and scheduling
  • Dependent: EI manages most processes on behalf of lecturer

Student Computing Services (SCS)

Core Responsibilities

  • Manage and confirm lab bookings
  • Ensure all computers are functional and correctly configured
  • Test assessments before sessions (technical checks only)
  • Provide technical support during assessments
  • Log incidents and issues

During Assessments

  • Assist students with login and access
  • Manage PIN codes and session access
  • Monitor technical performance
  • Enforce system-related procedures

Invigilators

Requirements

  • Minimum of 1 invigilator per 50 students
  • Must be present before and during the entire session

Responsibilities

  • Verify student identity
  • Maintain order and enforce rules
  • Manage attendance slips (distribution and collection)
  • Report delays or issues
  • Stay until all students have completed the assessment

Key Rules & Guidelines

  • Only registered students may take assessments
  • Students must arrive on time — no late entry allowed
  • No changes can be made during an active assessment
  • Assessments must be physically invigilated
  • Technical and academic responsibilities are separate (SCS vs Lecturer)

Reporting and Results

  • Lecturers can generate reports and access results in QuestUP
  • Results can be published to clickUP Grade Centre
  • EI can assist with interpreting analytics and improving assessments
  • SCS logs all technical incidents during sessions

Important Notes

  • Always confirm lab bookings before setting assessments
  • Allow extra time for:
    • Student entry/exit (15 minutes)
    • Additional time accommodations
    • Feedback (if applicable)
  • Regularly update question banks to prevent predictability
